These Terms & Conditions (“Terms”) govern all purchases of air conditioners (residential split-system, portable, commercial ducted/rooftop, smart ACs), related accessories (thermostats, filters, installation kits), and value-added services (site assessment, installation, maintenance, repairs) (collectively “Products/Services”) from CoolScape Climate Solutions (“Company,” “we,” or “us”). By placing an order via our website, retail store, authorized dealers, or customer service hotline, you (“Customer,” “you”) agree to these Terms, our Privacy Policy, and any attached product specifications or service agreements.

1. Order Acceptance & Modifications

  • Your order constitutes a request to purchase Products/Services. We reserve the right to accept, reject, or adjust orders—for reasons including (but not limited to) stock shortages, discontinued AC models, pricing errors, regional voltage compatibility (110V/220V), or failure to meet site requirements (e.g., insufficient space for commercial rooftop units). A binding contract is formed only when we issue a written order confirmation (via email for online orders, signed receipt for in-store purchases) detailing item(s), quantities, total cost, delivery/installation timelines, and service scopes.
  • Post-confirmation modifications (e.g., upgrading AC capacity, adding smart thermostats, changing installation address) must be submitted within 1 business day of receiving the order confirmation. We will confirm modification feasibility within 24 hours; changes may increase costs (e.g., for higher-BTU commercial units) or extend timelines (by 2–4 business days for custom commercial installations). Commercial AC orders (over $5,000) or custom climate control systems cannot be modified once production/shipping is initiated (typically 3 business days after confirmation).

2. Product Specifications & Compliance

  • All air conditioners and accessories meet international standards (e.g., ENERGY STAR® certification for energy efficiency, UL/FCC/CE for safety) and are clearly labeled with key specs: cooling capacity (BTU/hr), energy efficiency ratio (EER/SEER), voltage, noise level (dB), compatible space size (sq. ft.), and smart features (e.g., Wi-Fi connectivity, voice control). Detailed datasheets, user manuals, and compatibility guides are available on our website; physical products may vary slightly in appearance (e.g., control panel design) but will not deviate from stated performance or functionality.
  • If a selected standard AC model is out of stock, we may substitute it with an equivalent or upgraded model (with matching or superior specs, such as higher SEER rating, lower noise level, or enhanced smart features). We will notify you of substitutions via email 3 business days before shipping; you may cancel the order for a full refund if the substitute does not meet your cooling needs.

3. Delivery & Installation

  • Standard Delivery: We ship to residential and business addresses via licensed carriers (specialized for large appliances). Delivery timelines vary by product: 3–5 business days for residential split/portable ACs, 5–7 business days for small commercial units, and 7–10 business days for large commercial rooftop/ducted systems. Shipping costs are calculated at checkout (free for orders over $1,000). You must ensure the delivery location has adequate access (e.g., elevator for multi-story residential buildings, truck access for commercial rooftops); delays due to inaccessible locations incur $80/day storage fees.
  • Installation Services: All AC purchases include free basic installation (unboxing, unit placement, electrical connection, test run) for residential models; commercial installation costs $399–$1,499 (based on unit size and complexity, e.g., ductwork modification). Our certified HVAC technicians complete installation within 1–2 business days of delivery (residential) or 3–5 days (commercial). We require a pre-installation site assessment (free for all customers) to verify space, electrical, and ventilation requirements—failure to meet requirements (e.g., inadequate wiring) may result in additional fees ($150–$500) for upgrades.
  • Damage Claims: Inspect AC units immediately upon delivery. If damaged (e.g., dented casing, cracked coils, non-functional controls), notify us with photos of the damage and original packaging within 48 hours. We will ship a replacement within 3 business days (free of charge) and arrange return of the damaged unit (we cover all return shipping and disposal costs).

4. Payment Terms

  • We accept major credit cards (Visa, Mastercard, American Express), PayPal, Apple Pay, Google Pay, business checks (for orders over $2,000), and purchase orders (from pre-approved businesses with net-30 payment terms). Commercial AC orders require a 30% non-refundable deposit at order confirmation; the remaining 70% is due 2 business days before installation.
  • All prices are listed in U.S. dollars and include applicable sales tax. Late payments (for deposit-based orders) incur a 1.5% monthly fee on the unpaid balance; failure to pay the final balance within 5 days of installation notification will result in service hold and potential order cancellation (forfeiture of the deposit for commercial units).

5. Warranties

  • AC Warranty: Residential ACs include a 10-year warranty on compressors (the core component) and a 5-year warranty on parts (e.g., fans, capacitors). Commercial ACs include a 15-year compressor warranty and 7-year parts warranty. This warranty covers defects in materials/workmanship under normal use but excludes damage from misuse (e.g., improper filter replacement, voltage surges), natural disasters (e.g., floods, hurricanes), or unauthorized repairs.
  • Accessory Warranty: Smart thermostats and filters have a 2-year warranty; installation kits have a 1-year warranty.
  • Claim Process: To file a warranty claim, email support@coolscape.com with your order number, photos of the issue, and a description of use. We resolve claims within 3 business days—options include remote troubleshooting, on-site repair (free for eligible claims), or replacement (with no additional cost for parts/labor).

6. Returns & Refunds

  • Residential ACs: Uninstalled, unopened residential ACs may be returned within 30 days of delivery for a full refund (minus original shipping costs). Installed residential ACs qualify for a refund only if defective (verified by our technicians); a 20% restocking fee applies to non-defective installed returns (to cover labor and packaging).
  • Commercial ACs: Commercial ACs are non-returnable unless defective (reported within 7 days of installation). Defective units are replaced or repaired under warranty; refunds are issued only if replacement/repair is not feasible (processed within 10 business days).
  • Accessories: Unopened accessories may be returned within 60 days for a full refund. Opened thermostats/filters are non-returnable (due to hygiene and compatibility risks).

7. Limitation of Liability

  • We are not liable for indirect damages, including lost productivity (for commercial clients), discomfort from delayed installation, or increased utility bills, arising from delivery delays, installation issues, or AC defects (beyond warranty-covered repairs/replacements). Our total liability for any claim shall not exceed the total amount paid for the affected Products/Services.
  • We are not responsible for AC malfunctions caused by improper maintenance (e.g., failure to clean coils), non-genuine parts (e.g., third-party filters), or failure to follow the user manual’s guidelines.

8. Governing Law & Disputes

  • These Terms are governed by the laws of the State of Georgia (our headquarters location). Disputes shall first be resolved through good-faith negotiation; if unresolved, disputes will proceed to binding arbitration in Atlanta, GA (per the rules of the American Arbitration Association) instead of litigation.
